We are seeking a highly organized, professional, and proactive Executive Coordinator to provide dedicated support to our Chief Executive Officer. This role is pivotal in ensuring the CEO’s time is used effectively and that communication across internal and external stakeholders, especially our Board of Directors and investment partners, is seamless, timely, and accurate.

The ideal candidate will bring exceptional organizational skills, sound judgment, and the ability to manage sensitive information with the highest level of confidentiality and professionalism. This person thrives in a dynamic environment, anticipates needs before they arise, and represents the CEO and company with polish and discretion.

Key Responsibilities
• Manage all aspects of the CEO’s daily schedule, including complex calendar management, meeting coordination, and travel arrangements.
• Anticipate the CEO’s needs and proactively manage priorities, ensuring the right information, people, and materials are prepared in advance.
• Support preparation and logistics for Board and Executive Committee meetings, including agendas, minutes, and presentations.
• Maintain awareness of company priorities to help the CEO manage time effectively and focus on strategic initiatives.
• Track and follow up on key deliverables, board requests, and meeting actions.
• Prepare and edit correspondence, presentations, and reports on behalf of the CEO.
• Support special projects or events as directed by the CEO.
• Handle confidential and time-sensitive information with discretion and professionalism.
• Serve as the primary point of contact for board members and external investment partners.
• Coordinate and distribute board materials, updates, and communications in partnership with executive leadership.
• Facilitate communication between the CEO and internal teams, ensuring alignment and timely follow-up on key initiatives.
• Coordinate across departments to ensure projects, priorities, and communications flow smoothly and efficiently.
• Manage expense reports, vendor coordination, and executive documentation.
• Ensure all communications, meetings, and materials reflect the organization’s standards of professionalism and excellence.

Qualifications

  • Bachelor’s degree preferred or equivalent professional experience.
  • 6 – 10 years of experience supporting a C-suite executive or senior leader in a fast-paced organization.
  • Exceptional written and verbal communication skills with the ability to interface confidently with board members, investors, and senior leadership.
  • Highly organized with impeccable attention to detail and the ability to manage multiple priorities simultaneously.
  • Strong sense of judgment, professionalism, and discretion in handling confidential information.
  • Proficiency in Microsoft Office Suite, and virtual communication tools (e.g., Zoom, Teams).
  • Experience in investor relations, board communications, or executive operations.

Salary Range: $80,000 - $100,000
